Factoring, made clear.

We started ClearFactor because owners shouldn't have to chase their factor for answers. So we built one that works the other way round: clear invoices, quick replies, and a full record of what's spent on your building and why. We look after your common parts as if we lived in the flat next door.

Pay by BACS or online banking, using the bank details and account reference shown on your invoice.

Debit or credit card

Pay securely online by debit or credit card using the payment link on your invoice.

Payment plans

If a bill catches you out, get in touch before it's due. Short-term plans are agreed case by case.

Ways to pay

You can pay by bank transfer using the bank details and reference on your invoice, or by debit or credit card using the secure payment link on your invoice. If you pay by bank transfer, always quote your account reference so your payment is matched to your account straight away.

Invoices and your balance

Invoices and statements are sent to you by email, so you always have a copy to hand.

Protecting yourself from fraud

Only use the bank details printed on your ClearFactor invoice. We will never email, text or phone you to tell you our bank details have changed. If you receive a message like this, don't make the payment. Email enquiries@clearfactor.co.uk to check with us first.

Payment rules

How often you're invoiced is set out in your Written Statement of Services (WSS). Depending on your building, this can be monthly or quarterly. Each invoice is due within the period stated on it.

The float is topped up when it falls below the level agreed for your building, so routine costs can still be met without delay.

Paying your account

How often will I be invoiced?

It's set out in your Written Statement of Services (WSS): monthly or quarterly, depending on your building. Need a copy? Just ask.

I've paid, but it isn't showing on my invoice.

Payments made after an invoice is produced appear on the next one, and bank transfers can take a few working days.

If you paid before the invoice date and it's still missing, email enquiries@clearfactor.co.uk with the date, amount and reference.

What if I can't pay on time?

Get in touch before the payment is due. We can usually agree a short-term plan.

What happens if an account isn't paid?

We send a reminder, then a formal notice. Only if it's still unpaid is the account referred for recovery, and interest and reasonable recovery costs may then be added.

The float and selling

What is the float?

A one-off sum each owner pays, held for the building so routine costs can be paid straight away. It's usually due with your first invoice and topped up if it runs low. It still belongs to you.

I'm selling my property. What do I need to do?

Tell us your sale date and your solicitor's details. Until we know about the sale, the account stays in your name.

We'll prepare a final account up to your date of entry and return your float once it's settled.

Repairs and insurance

How do I report damage to the common parts?

Email enquiries@clearfactor.co.uk as soon as you spot it. If it's an insurance matter, we log the claim with the block insurer, arrange any inspection and keep you updated until it's settled.

What about damage inside my own flat?

Claims for your own flat's contents go through your personal insurer. If you need the block policy documents, we can send them.
